COLLECTION POLICY
FOR

STEP 1
If an insurance carrier has not addressed a claim within 45 days
of original claim submission, Plexus will resubmit a “Tracer” claim.
If the date of service reaches 60 days old, with two claim submissions,
and still no response from the carrier, the insurance balance will
be transferred to patient risk.
STEP 2
After a patient balance is 60 days old (with patient receiving 2
statements), a Final Notice of Collection (FNC) will be mailed.
Patient statements will continue to be sent. Finance
charges are to be applied to any patient balance 31 days old and
older.
STEP 3
If there is no response after 15 days from the date the FNC
has been sent, a copy will be sent to Dr. for further in-house collection
efforts. Patient statements continue to be sent until a decision
is made.
STEP 4
Upon receipt of the FNC copy from Plexus, the in-house designated
personnel will pull the chart and call the patient/guarantor. Request
for payment will be made. Calls may be made to a residence or work
place in adherence with Federal and State guidelines and according
to the information on the Patient Registration Form. Each contact
will be noted in the chart with a report made to Dr. when all is
complete.
STEP 5
Upon approval for the account to be sent to the credit bureau,
the balance will be deleted
off the A/R and the name and appropriate information added to the
month end report: Bad Debt Report. This report will be updated monthly.
Services will no longer be performed for the patient. No patient
statements will be sent. At this point, the patient’s chart
will be pulled and filed separately in a “drop” area
for any future reference. A “drop letter” will be mailed
to the patient notifying them of this action.
STEP 6
Upon payment in full of the bad debt account, Dr. will be
notified and may at that time make a determination if the patient
will be
accepted back into the practice. If Dr. decides that the patient
can come back to the practice, a “drop” fee of $25 will
be accessed to the bad debt amount and finance charges due.
